Who is responsible
Ocellics Fund Data Services (Pty) Ltd ("Ocellics FDS", "we") is the responsible party for personal information collected through this website. We are a South African company. Office: Block-B2, Regent Square, Doncaster Road, Kenilworth, Cape Town, 7708.
Information officer: The directors. Email info@ocellics.com. Phone +27 (21) 671 4456.
This notice covers the public website and the signed-in console. FundSolve, Fund Factsheets, WealthSolve and client engagements are each governed by their own contracts and data processing terms. Where such an agreement differs from this notice, the agreement takes precedence.
What we collect
From the demo form: first name, last name, work email, company, what you want to talk about, and any message you type. We also record that the request was sent, and a coarse location if you have allowed analytics.
If you sign in: the name, email and profile image your Google or X account shares with us, plus a session so you stay signed in. Team members' activity in the console (last page, last action) is stored so admins can see who did what.
Automatically, only if you allow analytics: the page path, title, referrer, browser language, time zone, window width, a random session id, and an approximate country / region / city looked up from your IP. We do not ask for a name for that. The IP itself is used for the lookup and is personal information under POPIA.
On the demo form we may run Cloudflare Turnstile or Google reCAPTCHA, plus a hidden honeypot field, so we can tell people from bots.
Why we use it
To respond to your enquiry and take the steps you request toward a possible engagement. This is necessary to take steps at your request before entering into a contract, and is otherwise in our legitimate interest in operating the business.
To give authorised individuals access to edit the website. This is necessary to perform our contract with those individuals.
To understand how the site is used, so we can maintain and improve it. This takes place only where you have consented to analytics, and you may decline without affecting your ability to use the site.
To protect the demo form from being overwhelmed by automated or malicious submissions. This is based on our legitimate interest in protecting the security and availability of the site.
Cookies and similar tools
Non-essential cookies are switched off unless you actively choose to accept them.
Necessary (always on). A session cookie if you sign in. A record in this browser of the analytics choice you made. Spam-protection tokens on the demo form when that is switched on.
Analytics (off until you allow them). A session id and a short-lived location cache in this browser. If Google Analytics or Tag Manager IDs are saved in the console, those scripts and their cookies (_ga and similar) only load after you accept. First-party page stats on our own server also only run after you accept.
Change your mind any time with Cookie settings in the footer. That does not log you out.
Who else sees it
We do not sell this information. We share it only where the work needs it:
- People at Ocellics FDS who answer demos and run the site.
- Microsoft 365 if we send the demo email from our tenant.
- Cloudflare or Google, if captcha is on, for that form submission.
- Google, if you accept analytics and GA4 or Tag Manager is configured.
- Geo lookup services (currently GeoJS, ipwho.is, ipapi.co) if you accept analytics, they receive your IP so we can store a country and city, not a name.
- Hosting and database providers that run this website.
Sending information outside South Africa
Google, Cloudflare and the geo lookup services process data outside South Africa. We only send analytics and geo lookups if you consent. Captcha and email go because the form or a reply cannot work without them.
Where personal information is transferred outside South Africa, we rely on the recipient's data protection standards, or on your consent, in accordance with section 72 of POPIA. We do not send demo-form content to Google Analytics.
How long we keep it
Demo requests stay while we are talking to you, and for a period after if we need a record of what was asked. Console accounts stay for as long as that person has access. Analytics rows are kept to produce the charts; they are not used to identify you in sales conversations. Your analytics choice lives in this browser until you clear the site data or choose again.
Your rights
You can ask us for the personal information we hold about you, to correct it, to delete it where we have no remaining lawful reason to keep it, and to object to processing that relies on legitimate interest. You can withdraw analytics consent without affecting the rest of the site.
Write to the information officer at info@ocellics.com. We will need enough detail to find the record. We may refuse a request where POPIA allows it, and we will say why.
Complaints
Please come to us first. You also have the right to complain to the Information Regulator (South Africa):

Changes
If we change how this site uses personal information, we will update this page and the date at the top. Material changes will be called out on the site.
